My assignment at VVOB Cambodia is to create an information management system. The name "Management Information System" (MIS) was chosen due to a possible mix-up with another acronym, IMS. Our first intention was to name it IMS (Information Management System), which would make more sense. The MIS will be used by the extension workers to manage their participants and activities in an easier fashion. They will also be able to keep organisation and logical framework information in the system. The real advantage of the system will be its output and consistency of data.
The output will mainly consist of reports. These reports will be exported to Excel and Word, ready to be sent off to the head office. All of the data in these reports will obviously come from the database incorporated into the MIS.
The MIS has been written in Microsoft Access 2007. This means that I will work in an unknown environment. MS Access has a "programming" language built into it, called Visual Basic for Applications (VBA). The database used in MS Access is quite slow, but functional. Microsoft Access will only run on a Windows system, which also limits the use of the program to Windows machines only.
Distribution of the MIS will be done just by sending it via email to all of the country representatives. The program is not that sizeable, so it should not be problematic whatsoever.
Since the database is a decentralized one, all of the countries will have to merge their smaller versions into one bigger "country version", which will then be used to generate reports to send off to the head office. If needed, they could merge these country versions at the end of every few years, to create a bigger overview of everything.
